Founded in 2016, we are a multidisciplinary team of communications strategists, storytellers, PR executives, and creatives, building personal and executive brands for high-profile entrepreneurs, CEOs, and personalities by managing their personal communication strategies amp; campaigns, social media channels, keynotes on stage and media coverage.

We seek a senior, full-time (two days working from home, three days from Dubai office) HR amp; Office Manager to support our operations, services, and help advance our growth in the Middle East and North America. Previous experience in office management is mandatory.

The successful candidate will report directly to the CEO. Salary is negotiable based on experience. We are looking for someone to join us immediately or on one month's notice.

The HR amp; Office Manager will be responsible for maintaining and enhancing the organization's human resources by planning, implementing, and evaluating employee relations and human resources policies, programs, and practices, and oversee the day-to-day running of the office.

The successful candidate must collaborate well with a diverse team; identify and offer suggestions for improvement; demonstrate knowledge, awareness, and ability to follow risk management and compliance procedures; and must be able to communicate confidently in a clear, concise, and articulate manner.

Responsibilities

Hold organization staff accountable by implementing and improving recruiting, testing, and interviewing programs.

Implementing appraisals and pay plans by scheduling and conducting job evaluations; preparing pay budgets; recommending, planning, and implementing pay structure revisions.

Stay up to date on employee leave requests, performance management, company policies, as well as maintaining overall organizational structures.

Maintain management guidelines by preparing, updating, and recommending human resource policies and procedures.

Listening to and resolving employee grievances, as well as counselling employees and supervisors

Develop historical human resource (HR) records by designing a filing and retrieval system for past and current records.

Oversee the daily operations of the office, ensuring a professional and efficient work environment.

Coordinate with external vendors and service providers for office maintenance, supplies, IT support, and other facility-related matters.

Assist the wider team with administrative tasks, such as scheduling meetings, preparing documents, and organizing events.

Coordinate internal and external communications, including drafting emails, meeting memos/summaries, and announcements.

Support the onboarding process for new employees, including preparing paperwork, setting up workstations, and facilitating orientation, and coordinate with PRO and insurance company.

Review all office paperwork and ensure proper physical and digital labelling and archiving.

Lead or assist with company filings (annual governmental filings, KYC, or AML) filings.

Review, handle and process legal documents, contracts, and agreements, maintaining accuracy and confidentiality.

Working closely with the accounts team to ensure that all products and services are invoiced and paid on time; manage contract and price negotiations with office vendors, service providers, and office lease; and manage the office’s budget with accurate and timely reporting.

Plan in-house or off-site activities, like parties, celebrations, and conferences.

Manages all logistical operations within the office including the telephone system, incoming and outgoing mail, travel, and accommodation arrangements.

Requirements

5-7 years of HR generalist and Office management experience.

Strong written and verbal communication skills.

Knowledge of Office Administrator responsibilities, systems, and procedures.

Proficiency in MS Office, Slack, Dropbox, Asana, and file organization is preferred.

Excellent time management skills and ability to multitask and prioritize work.

Attention to detail and problem-solving skills.

Proven organizational skills with the knowledge and ability to follow a systematic, orderly approach when working through problems, or when investigating issues.

Sense of Fairness, with the ability to balance organizational goals with Employee needs.

Business Acumen to understand how the HR and Office Management functions fit into the organization’s strategic plans.<
