The Assistant facilities manager oversees maintenance staff, ensuring that all assets are fully operational and inspected in accordance with preventative maintenance schedules.Also, is involved in both strategic planning and day-to-day operations, ensuring full technical support during and after the operation time in all the stores. He ensures reactive and planned services are done as per the agreed SLA, manages technicians and contractors to ensure their work efficiency, determines the repair procedures, manages the CAFM, and ensures completion of all work orders in high quality while maintaining low expenses, reviewing bills and submit quotations for approval after negotiating.What You'll Do
  • Managing and developing the facilities management plan.
  • Overseeing and agreeing on contracts and providers for services including but not limited to Kitchen equipment, air conditioning, grease traps, pest control, gas maintenance, cold rooms, firefighting, drain line getting, coffee machines maintenance, kitchen hood, and exhaust system cleaning, water filters, water management, and civil works.
  • Direct and manage all schedules for PPM and preventive maintenance plans for all services, making sure that the plan is followed.
  • Consistently monitor and control the quality of performance.
  • Supervising multi-disciplinary teams of staff, including maintenance, contractors, and service providers.
  • Assist in managing relationships with vendors, contractors, and service providers.
  • Obtain quotes, negotiate contracts, and ensure service levels meet established standards.
  • Ensuring that facilities meet government regulations and environmental, health, and security standards.
  • Advising businesses on increasing energy efficiency and cost-effectiveness.
  • Overseeing facilities projects, renovations, or refurbishments in their main milestones.
  • Helping businesses relocate to other locations based on operational needs.
  • Drafting reports and making written recommendations.
  • Calculate and compare costs for required goods, materials, or services to achieve maximum value for money (Value engineering).
  • Managing and leading change requests from the business to ensure minimum disruption to core activities.
  • Ensuring the stores meet health and safety requirements and that facilities comply with legislation.
  • Ability to use CAMF professionally in dealing with maintenance requests and PPMs planning
  • Checking that agreed work by staff or contractors has been completed satisfactorily and following up on any deficiencies.
  • Using performance management techniques to monitor and demonstrate achievement of agreed service levels and to lead on improvement.
  • Responding appropriately to emergencies or urgent issues as they arise and dealing with the consequences by giving immediate permanent solutions for tasks and involving personally in solving the major problems
  • Arranging all the maintenance contracts and negotiating directly with the service providers.
  • Support the Facilities Manager in budget planning and management.
  • Monitor expenses and recommend cost-effective solutions.
  • Preparing materials requests, making sure to follow the company budget.
