Job Description

We are looking for a reliable, bi-lingual (English/Arabic) Office Administrator to provide broad administrative support to our Finance and Procurement department teams and managers, ensuring they receive adequate support to work efficiently.

Key Responsibilities would include:

  • Organize meetings within Finance/ Procurement departments and with external vendors if needed, ensuring meetings are well-planned and necessary arrangements are secured.
  • When asked, take the minutes of the meeting and circulate to concerned individuals to ensure alignment with meeting agenda and deliverables.
  • Ensure follow-up on agreed action points/ deliverables from meetings and maintain required documentation to record progress.
  • Provide procurement-specific support when required on purchase order preparation, supplier paperwork follow-up, deliverables follow-up within procurement, etc.
  • Create, maintain, and update records and databases with personnel, financial, and other data relevant to the performance of work.
  • Coordinate team agendas/travel arrangements/appointments etc.
  • Provide general office support when required, which includes filing, scanning, updating records, etc.

Requirements

To be considered, you must have:

  • High school diploma; BSc/BA in office administration or relevant field is preferred
  • 3 years’ experience as an administrator in a corporate environment
  • Proven experience as an office administrator, office assistant, or relevant role
  • Outstanding communication and interpersonal abilities
  • Excellent organizational and time management skills
  • Familiarity with office management procedures
  • Excellent knowledge of MS Office
  • Qualifications in secretarial studies will be an advantage
  • English proficiency required
  • Other languages will be advantageous
